Tasks and Responsibilities

The Executive Assistant will report to the CEO for administrative purposes and to the Secretary General of the Board and CEO for functional purposes. The main tasks are as follows:

  • Manage scheduling for the Secretary General of the Board and CEO
  • Organize, prepare and document high-level internal meetings, including preparing briefing documents and attending to logistics
  • Support the Secretary General of the Board and CEO in development of documents workplans, presentations, etc.
  • Support stakeholder database input and management.
  • Coordinate travel arrangements of Board members, Secretary General of the Board and CEO
  • Support in the preparation, implementation and follow up of Board and Chairmans Committee meetings
  • Manage the Digital Board Management System

Required Qualifications

Education

  • Bachelor’s degree in business administration or equivalent

Experience

  • • Plus 10 years’ professional experience in a support function to high caliber executives and board members.

Skills

  • Excellent written and verbal communication skills
  • Time-management skills and ability to pay attention to detail
  • Quality and high service orientation
  • Quick thinker and ability to multitask
  • Strong organisational capabilities
  • Proficiency in the Microsoft office suite (MS365 Teams, SharePoint, OneDrive)

Tasks and Responsibilities

The Head of Data will report to the CEO and will be responsible for overseeing the design, implementation and continuous development of GESDA’s digital infrastructure. The main tasks are as follows:

  • Develop a long-term vision and strategy for GESDA’s digital infrastructure allowing to integrate all the different data-driven digital projects of GESDA
  • Steer the design, implementation and further development of the Anticipation Observatory, GESDA’s new signatory product to collect, analyze, and curate big data on emerging scientific topics from the perspectives of different communities – harnessing the power of the latest AI technologies.
  • Guide GESDA’s team in the development and use of their different data driven project components and assure integration into overall infrastructure
  • Set up and nurture the collaboration with strategic partners (IT partners, data partners, etc.) and guide the work of the different external service providers
  • Lead a small team of program managers and data engineers

Required Qualifications

Education

  • Master’s Degree with specialization in computer or data sciences

Experience

  • Plus 7 years’ professional experience in a similar function with responsibility for the strategic development and integration of a digital infrastructure of a complex organization.

Professional Skills

  • Multidisciplinary Knowledge: Interest and curiosity for various disciplines to effectively collect, analyze and display information from diverse fields such as science, politics, philosophy, etc.
  • Data Analysis: Ability to identify biases in sources and outliers in data to detect emerging trends and patterns.
  • Human-Computer Interaction: Experience in designing and developing user-friendly input/output interfaces for different stakeholders to facilitate efficient information exchange.
  • Digital Methodologies: Familiarity with new digital techniques for collecting, processing, and presenting information effectively.
  • Machine Learning and Artificial Intelligence: Knowledge of ML, AI, generative AI and deep learning techniques to process and analyze large amounts of information, and create information models.
  • Feedback Loops: Proficiency in establishing feedback loops to incorporate newly acquired knowledge into the network and improve its performance.
  • Communication and Visualization: Ability to present information in a clear, concise, and visually appealing manner through digital communication tools and visualization techniques.
  • Infrastructure Integration: Understanding of integrating these systems within existing infrastructure, ensuring smooth operation and compatibility with the overall network.
  • Leadership: ability to manage multiple delivery teams in parallel, in various configurations (consultants, internal team, volunteers etc.)
  • Communication: ability to share with leadership (and possible external parties) GESDA’s digital/data-driven intelligence program.

Tasks and Responsibilities

The Stakeholder Engagement Lead is supporting the management and nurturing of GESDA’s communities, contributing to facilitate their active participation in GESDA’s activities and initiatives. This position reports to the Director, Strategic Partnerships.

Responsibilities include:

  • Supporting the Director, Strategic Partnerships in designing, implementing and adjusting the stakeholder engagement strategy as appropriate.
  • Ensuring the structured and effective engagement of GESDA’s stakeholder groups as determined by the Director, Strategic Partnerships.
  • Contributing to the development of workplans, timelines, and other useful tools and materials for the Director.
  • Providing operational, intel and logistical support for stakeholder engagement and other outreach activities, whilst ensuring smooth and adequate communication with GESDA’s counterparts, and follow-up.
  • Preparing and keeping record of weekly meetings, including agenda, logistics, slides, documents, and notes.
  • Producing succinct content for specific target audiences, including diplomatic partners.
  • Capturing and ensuring the flow of critical information internally and externally, as appropriate.
  • Supporting stakeholder database input and management.
  • Capturing stakeholder support activities in a concise and telling manner and supporting the preparation of quarterly update reports.
  • Preparing visually attractive communication materials that convey key messages to different target audiences, including for GESDA’s Website.
  • Collaborating with other members of the team as necessary, including for the co-facilitation of meetings and events, identifying speakers and experts, key themes, topics and desired outcomes.
  • Supervising service providers and external mandates delivering.
  • Other tasks as required by the Director.

Required Qualifications

Education

  • Master’s degree, with background in international relations, political science, diplomacy or equivalent.

Experience

  • Plus 7 years’ of professional experience.
  • Experiential knowledge of core diplomatic processes with good understanding of the multilateral system and UN protocols.
  • Experience in science diplomacy or at the interface between academia, industry, policy, and society (desirable).
  • Experience in simultaneously coordinating collaborative projects with multiple partners of diverse interests.
  • Stakeholder management experience (a plus).

Requirements

  • Interested in and capable of acquiring sufficient general understanding of cutting-edge science and technology, a vision of their impact on people, society and the planet, and knowledge of the multilateral system.
  • Having stakeholder sensitivity, being able to work with very different mindsets from science to diplomacy, and facilitating the accomplishment of shared goals.
  • Ability to extract required content from a wide variety of information sources.
  • Capacity to manage mandates and external contractors as required.
  • Proficiency in Microsoft office suite (MS365, Teams, SharePoint, OneDrive). Project and stakeholder data management tools a plus.
